Congratulations to Mary R.
Mary has been asked to serve as Chair Designate/Chair of the Medical Library Association Awards Committee. Her term will start on June 1, 2011. The Awards Committee oversees all of the MLA Award Juries, reviews policies and procedures related to awards and is empowered to recommend to the Board a nominee for the Noyes Award, the highest honor given by MLA. This position carries a lot of responsibility and a full workload!
Dave Piper, History Detective!
The December issue of the Pima County Medical Society (PCMS) newsletter has a page-long story about the digitization of the PCMS historical minutes and some of the interesting stories contained in them. The article credits Dave Piper with the digitization project and with additional extensive research that has helped to bring these minutes to life. The article ends with a heartfelt thank you to Dave from the Executive Director, Dr. Steve Nash.
Congratulations to Jennifer Martin
Jennifer has been accepted to the Biomedical Informatics Course jointly sponsored by the National Library of Medicine and the Marine Biological Laboratory in Woods Hole, MA. Admission is very competitive and acceptance comes with a full scholarship that covers all expenses for the seven-day course. Jennifer will be attending the fall session. She will be joining Sandy and Carol as graduates of the program.
New Position
As mentioned in the January 7th update the library has received permission to create a new librarian position. A job description has been drafted for an “Emerging Technologies Librarian.” The person in this position will be helping us to use new technology – from mobile phones to social networks – to communicate with and support our clients. The search will begin as soon as the current search concludes.
Strategic Planning Committees
Thanks to all who volunteered to serve on committees this year. We weren’t able to place everyone on a committee and we did have to “draft” a few people. Thanks in advance to those who have agreed to serve for two years (or one year on the Emergency and Disaster Preparedness Task Force.) The ATeam will be meeting with each group to get them started.

Congratulations Jennifer L, New Year changes, winter break
Congratulations Jennifer!
Jennifer Lee has accepted a position in the Interlibrary Loan Department of the Boston College Library in Boston, MA. She will be leaving us in February, a fun time to be in New England! Please join me in congratulating Jennifer and in wishing her well. Joan and Kathy have begun discussing how ILL can best continue to provide the excellent service that they have in the past.
Strategic Plan and 2011
Almost all of the suggestions that came from departmental meetings have been incorporated into the final revision of the strategic plan. I will send out a final copy to everyone after the first of the year. We will be using it to develop departmental and individual goals. Start thinking about serving on one of our three new committees: Evidence-based Services, Marketing & Promotion or Emergency Preparedness. During 2011 we’ll be taking a hard look at what we’re doing, what we should be doing and what we can stop doing. I expect every department will see some change. I know that these changes will be positive for our users and for our staff.

Kathleen, Plan, Hannah, AAMC
Congratulations Kathleen
Kathleen Carlson’s appointment as a Clinical Education Librarian has been renewed on the recommendation of the Appointments, Continuing Status and Promotions Committee. Kathleen is the Health Sciences Librarian at the ASU Downtown Phoenix Campus and works closely with Jacque and Lindsey in support of our students.

In the September 24th update I described the status of the strategic plan. Today the Administrative Team met and agreed that we are very close to finalizing a draft for you to review. We have scheduled a meeting for next week to put the finishing touches on the DRAFT that you will be asked to respond to.

I want to thank Hannah and others who helped us think through the problem of late-night study hours for AHSL. In response to the idea of turning Java City into a 24/7 study area Hannah offered several alternatives and did some “out of the box” thinking about the problem. The result is our pilot test of extended hours for the whole building.

Jeanette, Jacque and Gary just returned from the AAMC/AAHSL meeting in Washington, DC. AAMC is the Association of American Medical Colleges and AAHSL is the Association of Academic Health Sciences Libraries. Jeanette is a member of the AAHSL Assessment and Statistics Committee that works on measuring our value and allows us to compare ourselves to other libraries. Jacque has formed a group for librarians at new health sciences libraries to meet and share experiences. Gary will be serving as AAHSL President-elect over the next year. This meeting is a wonderful opportunity to learn what is going on at other medical school libraries and to learn more about issues facing academic medicine. Speakers at this meeting, in addition to a variety of Deans and Associate Deans were Malcolm Gladwell, author, and Kathleen Sebelius, U.S. Secretary of Health and Human Services. A discussion presenting differing takes on the current political situation was presented by Donna Brazile, Democratic strategist and Al Gore’s campaign manager and Amy Holmes, Co-host of the Washington Times and Talk Radio Network's "America's Morning News."

Strategic Planning
The Administrative Team has met twice to review and discuss the reports from the strategic planning teams. It’s obvious from the reports that several committees need to be formed. We’re also discussing which departments, committees or individuals should be involved in carrying out which of the Goals and Objectives and what the timeline should be for each one. The goal of the ATeam is to have the strategic plan in place so that everyone can write his or her own goals and objectives for 2011 based on the large plan.
4th Floor
Jeanette and Gary met with Dr. Crist on Tuesday, along with representatives from the Interprofessional Education Steering Committee and the Clinical & Translational Science Award proposal team to present our case for the 4th floor. The three groups are asking Dr. Crist to allow us to collaboratively create a mix of meeting spaces from single-person study rooms to conference rooms to a classroom and a large gathering area, along with a few offices. This proposal is still in direct competition with a request to fill the floor with the offices of the COM Dean and now UA Healthcare. However, we are cautiously optimistic that Dr. Crist is leaning strongly in our favor. Even if he accepts our plan there will be a long road ahead as we look for funding and work with architects to design a space that will be attractive and useful for everyone involved.
Outlook
As new computers have been installed, the users of those machines have been moved over to Outlook for email and calendar. Jose is planning to move everyone over before December 31. He will also plan to do at least one training session. We may do one training when about half the staff are moved over and another later as it is best to get the training when you are actually using the software. Most people find that they can use the basic functions of Outlook without training, but some guidance will help us to use more of the capabilities and to understand how the program works.

Strategic planning, Shelving, Budget
Strategic Planning
The three groups working on goals and objectives, Working Environment, Promoting the Library and Transforming Services, have all submitted their recommendations to the Administrative Team. The next step is for the ATeam to review these, possibly work with the groups to clarify and prioritize and then to combine these into a strategic plan with a timeline and assignments. I’ll keep you informed of our progress.
Shelving project update from Dave Piper

As you know, last week I sent out two lists to the AHSL listserv. The first was a list of four REF titles under consideration for withdrawal. The second was a list of 34 REF titles under consideration for moving to the third floor.
Mary and I received feedback from four persons. Based on feedback we received, we are planning to take one title off the list of items under consideration for moving to the third floor. The title in question is the Portrait catalog of the New York Academy of Medicine Library (WZ 112 N532P 1960) and we now are recommending that it remain in REF.
I would propose that we communicate this change to the AHSL, briefly describe again the plan of action, and then proceed with implementing the plan. There are essentially four steps:
1. Move the 33 REF titles along with the Annex items (ZHQ-ZWZ) to the third floor.
2. Withdraw the 4 REF titles.
3. Meet with Facilities to discuss constructing the framed item storage screen and the framed item cabinet.
(The basic design plans are ready to show them.)
4. Plan the new, smaller shelving configuration for the west end of REF area. (Under one scenario that I’m investigating, it’s possible that we could shelve all of remaining “west end” items in the “east end of REF” area, thereby freeing up that entire west end for study space…)
Budget
The AHSL was given the same budget for 2010-2011 as we had last year. However, we have been asked to “hold back” 5% of the budget – about $127,000. The university is waiting to see how much income is generated by the 1% increase in sales tax that was approved earlier this year. If the results are disappointing we will have to give up the 5%. Otherwise we may get to keep all or some of it. In other years the university has been asked to take a mid-year cut. We aren’t anticipating a cut beyond the 5% but won’t know until January.

Our three strategic planning teams have been formed and will begin meeting soon. The groups will soon be choosing (or may have already elected) a facilitator. The “champions” for the groups are: Transforming Services – Sandy, Promoting the Library/External Communications – Cindy, and Working Environment – Gary. If you missed the “kick-off” meeting, be sure to touch base with one of your team members so that you don’t miss anything! Thank you all for participating in this important planning process.

Strategic planning – Values
What’s happening with the values statements? The Administrative Team met last Friday and again this past Wednesday. We have taken all of the comments and come up with a close to final version. Later today or early next week you’ll have one more chance to comment via an online survey. Next week we hope to send out a draft mission statement for you to look at. Please check with any ATeam member if you have questions.
Your leave balances
There are two ways to find out your vacation and sick leave balances. One is on your online paystub and the other is on your online timesheet. SOME of the balances on the paychecks are not correct right now. We are working with payroll on this. However the balance on your timesheet should be correct. Sign on the UAccess and go to “My Timesheet”. At the bottom of the screen you’ll see: “Balances – click to view”. Remember that the balances on your timesheet change instantly when you enter leave time on the sheet – even if you haven’t taken the leave yet.
Java City
On Monday I met with Craig Eickmeyer and Glenda Hughes who are the managers in charge of Java City. We’ve heard concerns from students about Java City’s shorter hours.
Craig and Glenda explained that they track their sales very carefully and that sales drop off drastically after 2 PM. They also said that they’ve had to cut back on costs since sales have been declining in general. They are trying to tailor their menu to students’ pocketbooks and appetites and will soon be doing a survey of their customers. They hope to increase sales and then increase hours. I explained to them how to find out when spring break and other down times will occur and also told them about the plans to re-carpet.

Jeanette and Gary recently met with Brian Bateman from the Development Office. We discussed strategies for attracting donors to the library. Brian is asking departments to create one-page fact sheets that can be given to potential donors. He has given us some samples and we will be drafting one for the library. Mary H. is compiling a list of people who have donated books to the library. They may be getting a call from Brian and copies of our fact sheet!

Be sure to read the rather long email sent yesterday afternoon from the Administrative Team (Strategic Planning - Values statement) in order to prepare for our next All Staff meeting.
Budget
Several people have asked about the budget. The state of Arizona accepted federal stimulus funds. As a result they are required to not cut the higher education budget any lower than 2006 levels. Since Arizona universities have been cut several times since 2006 our budget cannot technically be cut . . . until July 2011 when the stimulus will end. Current proposals in the legislature include provisions to delay payments to the universities. This has already happened several times. The UA has a reserve fund that it has used to take us through these delays in funding. In the short run we should be OK with no further cuts this year. Some UA colleges are planning to hold back some funds from next year’s budget. We have heard nothing about a similar plan from the AHSC. In the long run our strategic planning process will help us to identify priorities for our budget as we approach July 2011.
