Resources Monthly Report for October and November
Resources
Update: Oct/Nov 2008
Print Journal Weed
New tally: 1074 volumes discarded from 35 titles [15 of these 35 titles are now e-only]. Nga has completed two-thirds of the original title list, but some additional titles have now been added. In her careful investigations into the electronic coverage of the titles we have in print, Nga has found many instances of gaps in coverage, making it necessary to retain the print volumes. It’s a slow and sometimes tedious process because volumes, issues and supplements much be checked and each vendor presents content differently.
Cataloging & Technical Services
• Books
138 titles for Tucson [26 purchases, 37 WHO Global titles, 75 donations]
6 titles for Phoenix [1 purchase, 5 donations]
• AV
1 VHS [donation] and 1 DVD [purchase] for Tucson
• Serials (standing orders) added
25, Tucson; 1, Phoenix
• Knowledge River e-book record enhancement project
Olivia has added LC and MeSH to a total of 1595 records since she began
Collections
The eBooks collection has grown considerably over the years, but is under-utilized because searching for eBooks in the catalog is difficult. In an effort to make this collection more accessible, Mary worked with the Innovative Oversight Group to adopt “ebook” as the format for all electronic books in the collection to provide needed consistency. In addition, Dave, Mary and Joan worked with Marcus to create a list of medical textbooks and reference books that could be easily searched on the website. It includes all eBooks from StatRef, MDConsult and the LWW titles plus many others. It also points users to free book collections and to a catalog search page with built in limits to “ebooks” to search for additional titles. The web committee has been asked to survey users to identify the best terminology for eBooks and electronic textbooks so as to make users more aware of this collection and to help them find relevant titles. The new eBooks search tool is currently available under the “Books” section.
Acquisitions:
Mary completed the renewals for 2009. She also met with representatives of the UA Libraries to coordinate AHSL & UAL efforts in making cuts in journal subscriptions necessitated by budget reductions. Most of the AHSL journal subscriptions are tied up in packages we purchase jointly with them.
Interlibrary Loan/Document Delivery
Over 400 requests were received in October and November in support of a single grant in the College of Pharmacy. A total of 309 articles were scanned and delivered from the print collection and an additional 114 articles were ordered and received through ILL for the same grant. Sandy and Joan met with the PI to report on the progress of these requests and to suggest that future grants include funding to cover costs of large numbers of articles since there is a significant impact on the library’s budget. The PI asked to be invoiced for $924, a portion of the borrowing costs, which is being done.
The spike in the number of requests for the past two months and the loss of one student made it necessary to look closely at workflow and make changes, which resulted in faster turnaround times in November. Paula was reassigned to pull journals in the morning so that they’re ready for the student workers to scan later in the day. Scanning workload is being closely monitored and statistics kept in Excel. Jennifer and Laura are taking on more scanning to prevent backloads. Currently the scanner is being used just under four hours per day.
The EFTS balance continues to grow while OCLC ifm balance is slowly going down.
Single Sign-On Project
SSO went into effect on October 6th. The groundwork that was laid in the months before made for a fairly smooth transition. Problems with user access have been dealt with on a case by case basis.
Other Access Issues
Joan and Mikel worked with Dr. Parikh to provide remote access to AZHIN resources to the Rural Faculty Development Fellows by identifying AZHIN institutions that they are affiliated with and making the arrangements for obtaining Athens usernames and passwords.
WellU
Joan designed a blog for the Well U website to distribute regular updates on wellness activities on campus.
Training, Meetings, etc.
• Laura attended the Bursar’s training session on the new credit card machine and provided training to the Information Services Desk staff.
• ILL staff attended the monthly Lunch & Learn sessions and the Nursing@Ovid demonstration.
• Joan attended a three-day workshop in project planning & management which is used throughout the UA Libraries.
Dave is on vacation and was unable to contribute his update for this report.

Information Services Monthly Reports for October and November
Information Services Monthly Reports
David and Carol met with each of the second year societies during the fall semester, discussing patient-related questions and reinforcing EBM principles and practices. Students are learning which AHSL databases, journals and information resources they should employ to find the answers to their clinical questions. In a meeting with the society mentors, Carol and David presented the types of information and resources they provide to medical students. They will be meeting with first year medical students for the first time in the spring semester.
The liaison program continues to bring in new clients and new business. The library’s total volume of instruction increased 40% this year over last year when the liaison program was not fully implemented. The number of literature search requests has doubled this year over last year’s numbers. Each member of the IS team has been responsible for the increase in the liaisons’ client contacts, searches and projects. Congratulations!
Jennifer and Sandy completed the three month update for the College of Pharmacy’s ASHP grant. They searched thirteen databases for articles published since August 1st on the value of pharmacists in a patient care setting. After eliminating editorials, letters to the editor and foreign studies, they entered their results into the grant team’s database in the College of Pharmacy.
Mary attended the meeting of the Refugee and Immigrant Service Provider Network of Tucson (RISP-Net) on November 18, 2008 at the Eckstrom Columbus Branch Library, representing Pat Auflick and AHSL. She explained that AHSL could offer training on the use of MedlinePlus consumer health resources at locations convenient to the group. Mary learned about some of the needs for health information in foreign languages not currently available in MedlinePlus, and she investigated the availability of information using Valerie Rankow’s list Non-English Language Patient Information: Online Resources, revised 06/07/2008).
Annabelle participated in a National Library of Medicine site visit to the South Central Regional Medical Library in Houston in November. She and Pat were interviewed on television station KMSB during which she talked about the We Search grant, AHSL and medical librarianship. Annabelle continues to participate in the Pima County Community Health Task Force which focuses on developing health literacy activity for task force members.
In October, Hannah and Mary taught 95 nursing students in the accelerated program how to search Ebsco’s CINAHL database. Hannah also served on the selection committee for the newAZHIN librarian. October was a particularly busy month for Hannah and Mary. They met with dozens of nursing students in the accelerated nursing program who were searching for topics for a major research paper assignment.

Administration Office Activity Reports for October and November
Administration Office
We have a very busy schedule with payroll for the month of December. Vera sent out an email detailing the dates and times that time sheets will be due, as well as making sure anyone including students is aware that if they are not going to be in on December 23, 2008 to pick up their check/notice of deposit by noon, they need to make sure the Library Administration has a self addressed stamped envelope so the check/notice of deposit can be mailed. Another way to avoid having to do this is to sign up for “no print” via employ link.
Vera worked with Human Resources to wrap up all the loose ends with the AZHIN Librarian position; she also met with Brooke on December 5th, to complete her hiring paperwork.
Vera is working on the Libraries inventory list to eliminate very old computers and merchandise that was not removed for one reason or another in the past. She may contact you or visit your office to check on specific items, this is an ongoing project
Linda requested a quote for security cameras to be placed at several exits and over the Information Services Desk. She also prepared and submitted claim for lost books, which coincidently add up to the same amount as the quote for the security cameras.
We have a new procedure for key repair, Linda must take the key and holder to the lock shop in the morning and they replace or fix while she waits. So in the future you may have to wait a couple of days for keys to be fixed, as always we will do are best to accommodate our users.
Linda is doing her annual key audit and reformatting the spreadsheet we use in the office, she may contact you if she has questions, and we expect the key audit to be completed before the University Closure.
Linda attended the new mandatory cash handling and receiving training sessions, which she shared with the administrative group at our monthly meeting.
Linda arranged our staff appreciation luncheon at the Marriott Hotel, which we all attended. This is a gracious event sponsored by Gary.
Cindy attended the annual mandatory merchant meeting to comply and meet bankcard regulations. ILL and CTS received new credit card machines that encrypt the credit card number except for the last 4 digits.
Vera and Cindy attended the Kuali Financials meeting to discus how Auxillary Units will be affected by the conversion from FRS to Kuali. Kauli is expected to start in July 2009 in Phases.

Outreach Activity Reports for November
Activity Report for November 2008– Deputy Director, Outreach, and AZHIN
TribalMany of the roadblocks to moving forward with the TC4C community-based partners project were removed this month after a meeting with Claire Hamasu. Pat can now move forward with the community of Hard Rock, Arizona. One of the downsides of working on multi-institutional projects is the number of IRBs (institutional review boards) that must be navigated through.
The library exhibited at the AK Chin Diabetes Day onSaturday, November 15th.
WE Search Annabelle and Pat were interviewed about WE Search for a TV segment to air Nov. 30th at 10:30am on KTTU-TV Channel 18. Bob Lee conducted the interview for his program, Community Forum. Topics included WE Search, Knowledge River and librarianship in general.
Planning for next year and the conclusion of this year continue. Meetings were held with Jana Bradley and the KRs about next year, and the Sunnyside pricipal. Input on next year’s budget was offered; arrangements were made for the high school students’ final paycheck
AZHIN
Mikel reports that that AZHIN dues invoices for 2009 have been mailed; the 2009 coordinator contract has been updated and is being routed through the Office of Research and Sponsored Projects on main campus.
And on the technical front, Yavapai College’s access issues have been resolved; NAU is working directly with Ovid to respolve some LWW isues; Athens activity is handled daily; portal customization questions come up occasionally.
General
Outreach staff had a retreat on November 7th over at the Memorial Student Union to plan for the coming year.
Paul Bracke, formerly Head of Systems and Netowrking at AHSL and now at Purdue University, will be working with Marcus to provide development pathways for the EBM Search engine. He and David Howse and Sam Keim were the original developers. WE want to solve the “Wiley” problem (let Jeanette know if you want more info), provide the flexibility for liaison librarians in other colleges to to purpose the software for the unique needs of their colleges, and to provide a pathway for AZHIN to use the software as well. Also we are hoping that it will be useful in developing federated searches for library users overall.
The Continuation of the NLM/Knowledge River award for 2008-2009 is also being processed through the Office of Research and Sponsored Projects. For 4 years (since 2005-2006), the NLM Office of Specialized Information Services has provided funding for AHSL to support Knowledge River graduate students by providing work in our library.
Knowledge River interns will continue working for us during the Spring semester, Yamilla with the InfoDesk for 12 hours and 8 hours in Outreach, and Olivia with Collections Services for 12 hours and 8 hours with the InfoDesk. Our interns are great this year!
The Indian Health Information Management Conference will be held in Phoenix in mid December. Jean Roehrs from the Phoenix Indian Medical Center and perhaps Jacaue Doyle will staff a poster developed by the Outreaach Connections Steering Committee. The committee, which Jeanette participates in, has developed a a Wiki, whose purpose is to promote the sharing of information about health information projects with native populations. Take a look at http://native.outreachconnect.info/wiki/index.php?title=Main_Page. AHSL’s latest projects are included.
OTHER -The MLA Webcast November 12 attracted 7 attendees and one on-line request for viewing – the topic was Survival Tips and Stories: Expanding the Library's Services in Times of Disaster. Evaluation forms have been mailed to Debra Cavanaugh – CE Certificates were distributed

Department Updates - September 2008
AHS Library Department Updates
September 2008
Resources
Print Journal Weed
1st Quarter Stats: 1213 volumes from 33 titles have been discarded. Of those titles, 11 no longer have any print left and only the UA/Serials Solutions record remains. The other 22 titles have various numbers of print volumes remaining.
Cataloging & Technical Services
Clean-up project
• More than 1000 of the approximately 10,000 duplicate records merged
• Most of the 1500 or so defunct journal links have been removed
• LC and MeSH headings added to more than 1000 e-book records
Mary met with James Uhrig who is on the Technical Services Team at the Main Library in order to get a better understanding of the process that is used to update the LC and MeSH authority files.
Importing MARC records: Mary and Dave are working to figure out how to import vendor-supplied MARC records (e.g., STAT!Ref records) into Millennium.
Dave and Mary have identified several significant Serials Solutions linking problems and notified the appropriate parties to fix the problems.
Two examples:
Invisible backfile titles problem: For various reasons the backfiles for some superseded titles have not been identified in the UAL’s Serials Solutions knowledge base and, as a result, links to that superseded title’s backfile content aren’t being generated.
American Journal of Physiology’s: There are no working Serials Solutions links in databases to a significant portion of this journal’s legacy collection. Dave notified the Serials Solutions librarians and the American Journal of Physiology publications people and suggested a reasonable fix.
To aid in the identification and recovery of library books when stolen, Paula is placing an additional ‘secret’ property stamp in each of the books on Ready Reference and Reserves. All new books will also have this extra identification.
Acquisitions:
New books cataloged for first quarter
138 volumes for Tucson—of these 63 were donations
32 volumes for Phoenix
Mary and Dave reviewed STAT!Ref titles and passed along recommendation for new titles to add to AZHIN’s consortial purchase.
Investigated subscribing to Procedures Consult based on a recommendation by a faculty member and after consulting with the Dean, concluded that it is not likely for the foreseeable future.
Received an onsite visit and presentation from a Lexi-Comp representative; also met with representative from Blackwell North America.
Special Collections research activity (Dave)
• Assisted an author working on an article on the history of UMC.
• Provided information regarding photos and a student-drawn caricature of Dr. DuVal to his widow and to his memoirist.
• Provided a researcher with information on Hugh Hollingsworth Smith.
• Completed processing of the Frankenstein Exhibit archive.
• Received set of COM Founding Faculty Interview Series DVDs (Leslie Owen, director) including an interview by former AHSL director, Tom Higdon
• Olivia Baca ((KR Intern) is working on a project to inventory blueprints held in Special Collections
AZHIN
Dave has been investigating the evidence-based resources produced by the Joanna Briggs Institute to help AZHIN make a decision regarding whether or not to subscribe to the JBI resources. Some of these resources are also available via ProQuest, Wiley and Ovid, so these alternatives are also being examined.
Dave had a conference call meeting with an Ovid support technician and an Ovid engineer to discuss options for improving linking to full text from Ovid databases to external (i.e., non-Ovid supplied) full text. The meeting was extremely helpful in explaining the alternatives that are available and to identify the best course of action to pursue.
Document Delivery/Interlibrary Loan
Jennifer hired and is training 4 new student workers, three of them work-study.
Scanning Operation: The new BScan scanner produces quality scans and is convenient to use because of its overhead design, but it is also slower than expected. Comparisons of scanners are generally based on the time it takes to scan a page, but the BScan software adds an "Image Treatment" step, which can add time, plus the software updates the ILLiad record before the next scan can be started. The additional student help will allow Kathy and Jennifer to examine the time issue more closely and explore ways to make the scanning operation faster.
The issue arose of delivering books by mail directly to customers rather than by courier service to COM-Phoenix and is being examined. There are a number of concerns including mailing costs, the inaccuracy of addresses in the users’ ILLiad record, lost materials and how the process can be managed in ILLiad without adversely affecting the borrowing operation. Kathy is looking into it.
Single Sign-On Project
New sign-on procedures go into effect 8:00 am Monday, October 6th. Joan worked closely with the Colleges of Pharmacy and Medicine to make sure preceptors and community faculty were informed of the change and given the information they need to create their NetID. She created a webpage, wrote the messages sent out by the colleges and, in the case of CoP, sent out individual emails to over 60 preceptors. While CoP and CoM-Tuc were initially unhappy with having to deal with the extra work and the confusion of the change, they ended up saying they were grateful for the support that the library provided.
Joan has assisted a number of preceptors in resolving access problems and creating their NetID.
NIH Public Policy
Joan and Gary met with Dan Lee and Carla Stoffle to discuss the next steps in making NIH-funded researchers aware of the new requirements and to support their compliance. Joan worked with Dan to create an email form to request assistance when selecting a journal to submit an article to: http://www.library.arizona.edu/services/faculty/scholcom/nihForm.html
Joan made a brief presentation to the Library Advisory Council about the new requirements.
Well U
Joan updated the website and worked with others to complete a survey of wellness organizations in peer institutions. She’s also working on publicizing the Provost Lecture by Andrew Well on November 20th.
Library Administration
Vera transferred Copy Technology inventory over to College of Medicine IT, which completes the transfer of CTS to COM IT. Vera processed paperwork to hire five work-study students which saves the Library 75% per student. Kudos go out to Javad and Jennifer for hiring work-study students to work in their departments.
Linda supervised the furniture move; carrels were moved from the 2nd and 3rd floors up to the south end of the fourth floor. Some of the purple tables were moved up to the fourth floor in the southern-most divided area to provide a reading room atmosphere.
The Library hosted another Tribal Librarians conference on September 29, 2008, there was a lot of work that had to be done on the fourth floor before conference. Furniture was repaired, moved and/or cleaned, some of the frosted panels were sent to surplus property. Linda coordinated the furniture; parking; food ordering/delivering and
Girl Friday tasks during the Tribal Librarians conference and the evening before.
The 4th floor of the library was re-lamped before the tribal conference and the other floors were done soon after.
