Dr. Crist’s visit
On Tuesday the new Vice President for Health Sciences, Dr. William Crist, visited the AHSL. I took him on a tour of the building and we talked in my office. I’m happy to report that Dr. Crist seems to understand the value of libraries and their importance to the health sciences. He was impressed with our service approach as we reach out to the Colleges on campus. An important part of his job is to support the development of the Phoenix campus. There too, he sees an important role for the library. He was happy to hear that we have a staffed library in place in Phoenix and that we have good relations with the hospital librarians in Tucson and Phoenix.

As many of you know, both Jerry Perry and Jeanette Ryan were selected in recent years as NLM/AAHSL Fellows. This highly competitive program selects 4-6 librarians each year who show strong leadership potential to participate in a mentoring experience. This coming year AHSL has been chosen to host Sandra I. Martin, Interim Director, Shiffman Medical Library at Wayne State University as an NLM/AAHSL Fellow. She will visit us several times in the coming year and will have a chance to meet with everyone. She and I will also communicate regularly and jointly participate in some learning experiences. Sandra will be added to some of our listservs so that she can keep up on what’s happening at AHSL.

Kudos to Outreach, Harmony
Kudos for our Outreach Program
Last week I was asked to do a presentation about our Outreach projects at the Regional Medical Library (RML) in Los Angeles. The RML provides support for our efforts through a contract. I narrowed my presentation down to about five of our activities. The response was overwhelming. All of the library representatives attending the meeting were very impressed. The RML included a summary of the presentation when they described their program to representatives of the National Library of Medicine. I was just the messenger and the credit goes to Pat, Jeanette, Annabelle, Mikel, Mary R. and many others who have helped out.

One of her photos is misidentified as a drawing thanks to the incredible special effects she used. We have several copies in the office if you’d like to see one and a copy should soon be on the shelf in special collections.

A few years ago the Library received a grant from PSRMLS to reach out to special groups i.e. Arizona Indian Tribes and Hispanics. The grant is to improve access to health care information in these populations. Other current projects include but are not limited to:

3. TC4C and AZ Go Local - Jacque and Staff
Annabelle reported the following:
AHSL is in partnership with SIRLS to implement the WE Search program. On behalf of SIRLS and Dr. Bradley, I presented the program before the U.S. House Subcommittee on Healthy Families and Communities. Pat and I are co-advisors to the program where three Knowledge River scholars serve as mentors to seven high school students. We also received funding from Dr. Francisco Garcia, from the COM, off his human papilloma virus (HPV) REACH US grant. Racial and Ethnic Approaches to Community Health Across the U.S. WE Search students will develop a digital story on human papilloma virus (HPV).
The WE Search team will be working on digital stories on health topics for Sunnyside High School teachers and community members. The high school students are trained to evaluate health information and prepare information for their school and community. They participated in the Pima County Public Library system Get Fit Event last month. They will participate in the AIDS Walk hosted by UA on Oct. 19 and they will have a table a the UA's Jr. Scientist Day. In development is a health information-seeking workshop for community members and parents. Participants come to campus on a Saturday and students will lead the workshop bilingually. (So is the plan).
I am working to develop an information resources workshop for REACH Grant - Outreach Coalition members made up of community stakeholders, agency representatives and community health workers/promotoras.

Bringing together AHSL, Pima County Health Department, Pima County Public Library (PCPL), U of A College of Nursing, Mel and Enid Zuckerman College of Public Health and the Women's Center of Excellence at the College of Medicine to look at health issues and outcomes for the county. AZ's project is in Hard Rock, a community that is about 2 hours north of Winslow on the Navajo Nation.
Going through the process of getting endorsements from the chapter house and health boards before going before the Navajo IRB - a long and involved process when coordinating with 3 states.
Gary will be attending the Regional Medical Library Directors meeting next week he has been asked to give a 30-minute presentation on our outreach program, and as you can see by the projects we are involved with everyone in the Library has been touched by our outreach services at one time or another. He thanked everyone for their contributions to the various programs.
Budget

The President announced a hiring freeze effective immediately, so the search that Gary announced last week for a new COM Liaison Librarian will not take place. We are hearing that the freeze could be in place for 18 to 24 months, as with everything regarding the budget we will have to wait and see how this plays out.
The search is underway for an AZHIN funded librarian to support education and training for AZHIN members, especially those without a librarian on staff. We have interviewed two candidates and anticipate the position being filled within the next couple of weeks. Because this position is not state-funded, it is not affected by the hiring freeze.

Because of the way that the budget process worked this year, we have funding for a librarian position. In consultation with the Administrative Team I have formed a search committee to look for an additional College of Medicine Liaison Librarian. An additional librarian will help us to better serve this large college. Jeanette will chair the committee consisting of Sandy, Dave Piper and Kathy. We hope to move quickly to fill this position.

Print Journal Weed
1st Quarter Stats: 1213 volumes from 33 titles have been discarded. Of those titles, 11 no longer have any print left and only the UA/Serials Solutions record remains. The other 22 titles have various numbers of print volumes remaining.
Cataloging & Technical Services
Clean-up project
• More than 1000 of the approximately 10,000 duplicate records merged
• Most of the 1500 or so defunct journal links have been removed
• LC and MeSH headings added to more than 1000 e-book records
Mary met with James Uhrig who is on the Technical Services Team at the Main Library in order to get a better understanding of the process that is used to update the LC and MeSH authority files.
Importing MARC records: Mary and Dave are working to figure out how to import vendor-supplied MARC records (e.g., STAT!Ref records) into Millennium.
Dave and Mary have identified several significant Serials Solutions linking problems and notified the appropriate parties to fix the problems.
Two examples:
Invisible backfile titles problem: For various reasons the backfiles for some superseded titles have not been identified in the UAL’s Serials Solutions knowledge base and, as a result, links to that superseded title’s backfile content aren’t being generated.
American Journal of Physiology’s: There are no working Serials Solutions links in databases to a significant portion of this journal’s legacy collection. Dave notified the Serials Solutions librarians and the American Journal of Physiology publications people and suggested a reasonable fix.
To aid in the identification and recovery of library books when stolen, Paula is placing an additional ‘secret’ property stamp in each of the books on Ready Reference and Reserves. All new books will also have this extra identification.

Mary and Dave reviewed STAT!Ref titles and passed along recommendation for new titles to add to AZHIN’s consortial purchase.

Received an onsite visit and presentation from a Lexi-Comp representative; also met with representative from Blackwell North America.
Special Collections research activity (Dave)
• Assisted an author working on an article on the history of UMC.
• Provided information regarding photos and a student-drawn caricature of Dr. DuVal to his widow and to his memoirist.
• Provided a researcher with information on Hugh Hollingsworth Smith.
• Completed processing of the Frankenstein Exhibit archive.
• Received set of COM Founding Faculty Interview Series DVDs (Leslie Owen, director) including an interview by former AHSL director, Tom Higdon

AZHIN
Dave has been investigating the evidence-based resources produced by the Joanna Briggs Institute to help AZHIN make a decision regarding whether or not to subscribe to the JBI resources. Some of these resources are also available via ProQuest, Wiley and Ovid, so these alternatives are also being examined.
Dave had a conference call meeting with an Ovid support technician and an Ovid engineer to discuss options for improving linking to full text from Ovid databases to external (i.e., non-Ovid supplied) full text. The meeting was extremely helpful in explaining the alternatives that are available and to identify the best course of action to pursue.
Document Delivery/Interlibrary Loan
Jennifer hired and is training 4 new student workers, three of them work-study.
Scanning Operation: The new BScan scanner produces quality scans and is convenient to use because of its overhead design, but it is also slower than expected. Comparisons of scanners are generally based on the time it takes to scan a page, but the BScan software adds an "Image Treatment" step, which can add time, plus the software updates the ILLiad record before the next scan can be started. The additional student help will allow Kathy and Jennifer to examine the time issue more closely and explore ways to make the scanning operation faster.
The issue arose of delivering books by mail directly to customers rather than by courier service to COM-Phoenix and is being examined. There are a number of concerns including mailing costs, the inaccuracy of addresses in the users’ ILLiad record, lost materials and how the process can be managed in ILLiad without adversely affecting the borrowing operation. Kathy is looking into it.
Single Sign-On Project
New sign-on procedures go into effect 8:00 am Monday, October 6th. Joan worked closely with the Colleges of Pharmacy and Medicine to make sure preceptors and community faculty were informed of the change and given the information they need to create their NetID. She created a webpage, wrote the messages sent out by the colleges and, in the case of CoP, sent out individual emails to over 60 preceptors. While CoP and CoM-Tuc were initially unhappy with having to deal with the extra work and the confusion of the change, they ended up saying they were grateful for the support that the library provided.
Joan has assisted a number of preceptors in resolving access problems and creating their NetID.
NIH Public Policy
Joan and Gary met with Dan Lee and Carla Stoffle to discuss the next steps in making NIH-funded researchers aware of the new requirements and to support their compliance. Joan worked with Dan to create an email form to request assistance when selecting a journal to submit an article to: http://www.library.arizona.edu/services/faculty/scholcom/nihForm.html
Joan made a brief presentation to the Library Advisory Council about the new requirements.
Well U
Joan updated the website and worked with others to complete a survey of wellness organizations in peer institutions. She’s also working on publicizing the Provost Lecture by Andrew Well on November 20th.
Library Administration
Vera transferred Copy Technology inventory over to College of Medicine IT, which completes the transfer of CTS to COM IT. Vera processed paperwork to hire five work-study students which saves the Library 75% per student. Kudos go out to Javad and Jennifer for hiring work-study students to work in their departments.
Linda supervised the furniture move; carrels were moved from the 2nd and 3rd floors up to the south end of the fourth floor. Some of the purple tables were moved up to the fourth floor in the southern-most divided area to provide a reading room atmosphere.
The Library hosted another Tribal Librarians conference on September 29, 2008, there was a lot of work that had to be done on the fourth floor before conference. Furniture was repaired, moved and/or cleaned, some of the frosted panels were sent to surplus property. Linda coordinated the furniture; parking; food ordering/delivering and
Girl Friday tasks during the Tribal Librarians conference and the evening before.
The 4th floor of the library was re-lamped before the tribal conference and the other floors were done soon after.
Activity Report – Deputy Director, Outreach, and AZHIN
Tribal
the 6th Gathering of Tribal Librarians (aka Tribal Librarians conference) was held at AHSL on September 29th. There were approximately 48 in attendance. It was an overwhelming success! Check out Gary’s blog for more details and some photos.
Pat Auflick attended the National Indian Health Board’s Consumer Conference in Temecula, CA on September 30, and October 1. She worked an exhibit with staff from Specialized Information Services of the National Library of Medicine.
Both Pat and Annabelle attended parts of the Arizona Public Health Association annual conference in Tucson this year. A poster describing the Pima County Community Health taskforce, and an exhibit on Health Information and AHSL was presented.
WE Search
The We Search program has shifted focus now to the high school students at Sunnyside. Pat and Annabelle are mentoring the Knowledge River interns who are working directly with the Sunnyside students. SIRLS has not yet hired (but has interviewed) a KR coordinator, so more than what might normally be expected has been handled by Annabelle and Pat.
AZHIN
Interviews for 2 candidates for the AZHIN librarian position have been scheduled for early October. A 3rd candidate has withdrawn.
A quarterly board meeting was held September 12th at AHSL. Yavapai Community College is going to join in early October. The group is looking at several additions and some modifications of current holdings, and discussed the 2009 budget. David Howse gave a presentation on EBM Search.
General
An outreach collaborative is being formed among the many units at the university that do outreach around the state. It is expected to interface in some fashion with the UA Outreach College, and of course share expertise, etc. Jeanette is attending these sessions.

Sue Payne (former AHSL employee) has invited us to exhibit at Sahuarita’s Health Fair, from 8-12, on Saturday October 18th. Information Services Monthly Report
Annabelle travelled to Washington D.C. to give Congressional testimony for SIRLS on the Knowledge River program and the WE Search program. Annabelle’s testimony will help to persuade Congress to continue funding these valuable programs. As a member of the REACH/HPV coalition, Annabelle provided digital storytelling training for 3 Knowledge River students and 3 REACH/HPV coalition members. Annabelle attended the REFORMA National Conference in El Paso, Texas and gave a presentation on the Pima County Health Task Force (PCCHTF.)
Hannah and Sandy initiated the College of Nursing liaison service this month. They are located on room 321 with faculty from the Nursing Practice Division of the College. Feedback from faculty and students has been very positive.
Jennifer and Sandy finished phase two of the College of Pharmacy grant which reviews literature related to the value of pharmacists on the health care team. For the second round of searches, they reviewed over 7,000 abstracts for possible entries into the final study which will be completed May of 2009.
Carol attended the national meeting of Reynolds grant program in September. She continues to contribute to the D2L geriatrics course within the College of Medicine and to the University of Arizona Reynolds grant project team. At the end of September, Carol traveled to Woods Hole, Massachusetts to attend the National Library of Medicine’s Biomedical Informatics course.
Nga is indexing the history of the University of Arizona College of Medicine documents in the AHSL Special Collections. She devotes five hours per week to the project.
Mary attended the SIRLS Advisory Committee meeting at the Arizona Inn. Mary was the special libraries representative to the Advisory Committee meeting. As a member of the MLA Awards Committee, Mary submitted an article for the major MLA awards which will be distributed to chapter and section listservs.
Phoenix
All
• Help Desk: the AHSL-P is the first stop for students with computer problems. This is working well.
• Microsoft OneNote was installed on all student laptops; we are first stop for problems and effective use.
• Exam review sessions: are being held in 1252 and we are supporting that effort.
• The three upright computer stations were removed (yay!), flat tables installed and, 3 new laptops are available for use, bringing out total LRC machines to 8.
• Jacque and Lindsey met with Toni Janas, a SIRLS student who wants to do an internship here and is very interested in GoLocal.
• We are reviewing SmartImage, Whack-a-Bone, NetAnatomy.com and advanced features of Primal Pictures.

• Continues to support faculty and student use of ARS “clickers” in classrooms.

Print Journal Weed
1st Quarter Stats: 1213 volumes from 33 titles have been discarded. Of those titles, 11 no longer have any print left and only the UA/Serials Solutions record remains. The other 22 titles have various numbers of print volumes remaining.
Cataloging & Technical Services
Clean-up project
• More than 1000 of the approximately 10,000 duplicate records merged
• Most of the 1500 or so defunct journal links have been removed
• LC and MeSH headings added to more than 1000 e-book records
Mary met with James Uhrig who is on the Technical Services Team at the Main Library in order to get a better understanding of the process that is used to update the LC and MeSH authority files.
Importing MARC records: Mary and Dave are working to figure out how to import vendor-supplied MARC records (e.g., STAT!Ref records) into Millennium.
Dave and Mary have identified several significant Serials Solutions linking problems and notified the appropriate parties to fix the problems.
Two examples:
Invisible backfile titles problem: For various reasons the backfiles for some superseded titles have not been identified in the UAL’s Serials Solutions knowledge base and, as a result, links to that superseded title’s backfile content aren’t being generated.
American Journal of Physiology’s: There are no working Serials Solutions links in databases to a significant portion of this journal’s legacy collection. Dave notified the Serials Solutions librarians and the American Journal of Physiology publications people and suggested a reasonable fix.
To aid in the identification and recovery of library books when stolen, Paula is placing an additional ‘secret’ property stamp in each of the books on Ready Reference and Reserves. All new books will also have this extra identification.

Mary and Dave reviewed STAT!Ref titles and passed along recommendation for new titles to add to AZHIN’s consortial purchase.
Investigated subscribing to Procedures Consult based on a recommendation by a faculty member and after consulting with the Dean, concluded that it is not likely for the foreseeable future.
Received an onsite visit and presentation from a Lexi-Comp representative; also met with representative from Blackwell North America.
Special Collections research activity (Dave)
• Assisted an author working on an article on the history of UMC.
• Provided information regarding photos and a student-drawn caricature of Dr. DuVal to his widow and to his memoirist.
• Provided a researcher with information on Hugh Hollingsworth Smith.
• Completed processing of the Frankenstein Exhibit archive.
• Received set of COM Founding Faculty Interview Series DVDs (Leslie Owen, director) including an interview by former AHSL director, Tom Higdon
• Olivia Baca ((KR Intern) is working on a project to inventory blueprints held in Special Collections
AZHIN
Dave has been investigating the evidence-based resources produced by the Joanna Briggs Institute to help AZHIN make a decision regarding whether or not to subscribe to the JBI resources. Some of these resources are also available via ProQuest, Wiley and Ovid, so these alternatives are also being examined.
Dave had a conference call meeting with an Ovid support technician and an Ovid engineer to discuss options for improving linking to full text from Ovid databases to external (i.e., non-Ovid supplied) full text. The meeting was extremely helpful in explaining the alternatives that are available and to identify the best course of action to pursue.
Document Delivery/Interlibrary Loan
Jennifer hired and is training 4 new student workers, three of them work-study.
Scanning Operation: The new BScan scanner produces quality scans and is convenient to use because of its overhead design, but it is also slower than expected. Comparisons of scanners are generally based on the time it takes to scan a page, but the BScan software adds an "Image Treatment" step, which can add time, plus the software updates the ILLiad record before the next scan can be started. The additional student help will allow Kathy and Jennifer to examine the time issue more closely and explore ways to make the scanning operation faster.
The issue arose of delivering books by mail directly to customers rather than by courier service to COM-Phoenix and is being examined. There are a number of concerns including mailing costs, the inaccuracy of addresses in the users’ ILLiad record, lost materials and how the process can be managed in ILLiad without adversely affecting the borrowing operation. Kathy is looking into it.
Single Sign-On Project
New sign-on procedures go into effect 8:00 am Monday, October 6th. Joan worked closely with the Colleges of Pharmacy and Medicine to make sure preceptors and community faculty were informed of the change and given the information they need to create their NetID. She created a webpage, wrote the messages sent out by the colleges and, in the case of CoP, sent out individual emails to over 60 preceptors. While CoP and CoM-Tuc were initially unhappy with having to deal with the extra work and the confusion of the change, they ended up saying they were grateful for the support that the library provided.
Joan has assisted a number of preceptors in resolving access problems and creating their NetID.
NIH Public Policy
Joan and Gary met with Dan Lee and Carla Stoffle to discuss the next steps in making NIH-funded researchers aware of the new requirements and to support their compliance. Joan worked with Dan to create an email form to request assistance when selecting a journal to submit an article to: http://www.library.arizona.edu/services/faculty/scholcom/nihForm.html
Joan made a brief presentation to the Library Advisory Council about the new requirements.
Well U
Joan updated the website and worked with others to complete a survey of wellness organizations in peer institutions. She’s also working on publicizing the Provost Lecture by Andrew Well on November 20th.
Library Administration
Vera transferred Copy Technology inventory over to College of Medicine IT, which completes the transfer of CTS to COM IT. Vera processed paperwork to hire five work-study students which saves the Library 75% per student. Kudos go out to Javad and Jennifer for hiring work-study students to work in their departments.
Linda supervised the furniture move; carrels were moved from the 2nd and 3rd floors up to the south end of the fourth floor. Some of the purple tables were moved up to the fourth floor in the southern-most divided area to provide a reading room atmosphere.
The Library hosted another Tribal Librarians conference on September 29, 2008, there was a lot of work that had to be done on the fourth floor before conference. Furniture was repaired, moved and/or cleaned, some of the frosted panels were sent to surplus property. Linda coordinated the furniture; parking; food ordering/delivering and
Girl Friday tasks during the Tribal Librarians conference and the evening before.
The 4th floor of the library was re-lamped before the tribal conference and the other floors were done soon after.
Activity Report – Deputy Director, Outreach, and AZHIN
Tribal
the 6th Gathering of Tribal Librarians (aka Tribal Librarians conference) was held at AHSL on September 29th. There were approximately 48 in attendance. It was an overwhelming success! Check out Gary’s blog for more details and some photos.
Pat Auflick attended the National Indian Health Board’s Consumer Conference in Temecula, CA on September 30, and October 1. She worked an exhibit with staff from Specialized Information Services of the National Library of Medicine.
Both Pat and Annabelle attended parts of the Arizona Public Health Association annual conference in Tucson this year. A poster describing the Pima County Community Health taskforce, and an exhibit on Health Information and AHSL was presented.
WE Search
The We Search program has shifted focus now to the high school students at Sunnyside. Pat and Annabelle are mentoring the Knowledge River interns who are working directly with the Sunnyside students. SIRLS has not yet hired (but has interviewed) a KR coordinator, so more than what might normally be expected has been handled by Annabelle and Pat.
AZHIN
Interviews for 2 candidates for the AZHIN librarian position have been scheduled for early October. A 3rd candidate has withdrawn.
A quarterly board meeting was held September 12th at AHSL. Yavapai Community College is going to join in early October. The group is looking at several additions and some modifications of current holdings, and discussed the 2009 budget. David Howse gave a presentation on EBM Search.
General
An outreach collaborative is being formed among the many units at the university that do outreach around the state. It is expected to interface in some fashion with the UA Outreach College, and of course share expertise, etc. Jeanette is attending these sessions.

Sue Payne (former AHSL employee) has invited us to exhibit at Sahuarita’s Health Fair, from 8-12, on Saturday October 18th. Information Services Monthly Report
Annabelle travelled to Washington D.C. to give Congressional testimony for SIRLS on the Knowledge River program and the WE Search program. Annabelle’s testimony will help to persuade Congress to continue funding these valuable programs. As a member of the REACH/HPV coalition, Annabelle provided digital storytelling training for 3 Knowledge River students and 3 REACH/HPV coalition members. Annabelle attended the REFORMA National Conference in El Paso, Texas and gave a presentation on the Pima County Health Task Force (PCCHTF.)
Hannah and Sandy initiated the College of Nursing liaison service this month. They are located on room 321 with faculty from the Nursing Practice Division of the College. Feedback from faculty and students has been very positive.
Jennifer and Sandy finished phase two of the College of Pharmacy grant which reviews literature related to the value of pharmacists on the health care team. For the second round of searches, they reviewed over 7,000 abstracts for possible entries into the final study which will be completed May of 2009.
Carol attended the national meeting of Reynolds grant program in September. She continues to contribute to the D2L geriatrics course within the College of Medicine and to the University of Arizona Reynolds grant project team. At the end of September, Carol traveled to Woods Hole, Massachusetts to attend the National Library of Medicine’s Biomedical Informatics course.
Nga is indexing the history of the University of Arizona College of Medicine documents in the AHSL Special Collections. She devotes five hours per week to the project.
Mary attended the SIRLS Advisory Committee meeting at the Arizona Inn. Mary was the special libraries representative to the Advisory Committee meeting. As a member of the MLA Awards Committee, Mary submitted an article for the major MLA awards which will be distributed to chapter and section listservs.

• Help Desk: the AHSL-P is the first stop for students with computer problems. This is working well.
• Microsoft OneNote was installed on all student laptops; we are first stop for problems and effective use.
• Exam review sessions: are being held in 1252 and we are supporting that effort.
• The three upright computer stations were removed (yay!), flat tables installed and, 3 new laptops are available for use, bringing out total LRC machines to 8.
• Jacque and Lindsey met with Toni Janas, a SIRLS student who wants to do an internship here and is very interested in GoLocal.
• We are reviewing SmartImage, Whack-a-Bone, NetAnatomy.com and advanced features of Primal Pictures.

Tribal Librarians' Conference, Budget
Tribal Librarians' Gathering
On Monday the library hosted the 6th Tribal Librarian’s Gathering. The all-day program, held on the 4th floor, featured speakers on a variety of health topics. Jennifer Swift-Martin gave a well-received presentation on Diabetes Information Resources. (see photos below)
Budget
We have fared well during the first round of budget cuts. We learned on Monday that our cut would be 4.2% of our state budget (excluding the amount allocated for collections.) This comes to about $71,000. I am still working on rearranging our budget to accommodate this cut, but it can be covered without threatening any jobs.
