Administration Office
We have a very busy schedule with payroll for the month of December. Vera sent out an email detailing the dates and times that time sheets will be due, as well as making sure anyone including students is aware that if they are not going to be in on December 23, 2008 to pick up their check/notice of deposit by noon, they need to make sure the Library Administration has a self addressed stamped envelope so the check/notice of deposit can be mailed. Another way to avoid having to do this is to sign up for “no print” via employ link.
Vera worked with Human Resources to wrap up all the loose ends with the AZHIN Librarian position; she also met with Brooke on December 5th, to complete her hiring paperwork.
Vera is working on the Libraries inventory list to eliminate very old computers and merchandise that was not removed for one reason or another in the past. She may contact you or visit your office to check on specific items, this is an ongoing project
Linda requested a quote for security cameras to be placed at several exits and over the Information Services Desk. She also prepared and submitted claim for lost books, which coincidently add up to the same amount as the quote for the security cameras.
We have a new procedure for key repair, Linda must take the key and holder to the lock shop in the morning and they replace or fix while she waits. So in the future you may have to wait a couple of days for keys to be fixed, as always we will do are best to accommodate our users.
Linda is doing her annual key audit and reformatting the spreadsheet we use in the office, she may contact you if she has questions, and we expect the key audit to be completed before the University Closure.
Linda attended the new mandatory cash handling and receiving training sessions, which she shared with the administrative group at our monthly meeting.
Linda arranged our staff appreciation luncheon at the Marriott Hotel, which we all attended. This is a gracious event sponsored by Gary.
Cindy attended the annual mandatory merchant meeting to comply and meet bankcard regulations. ILL and CTS received new credit card machines that encrypt the credit card number except for the last 4 digits.
Vera and Cindy attended the Kuali Financials meeting to discus how Auxillary Units will be affected by the conversion from FRS to Kuali. Kauli is expected to start in July 2009 in Phases.

Outreach Activity Reports for November
Activity Report for November 2008– Deputy Director, Outreach, and AZHIN
TribalMany of the roadblocks to moving forward with the TC4C community-based partners project were removed this month after a meeting with Claire Hamasu. Pat can now move forward with the community of Hard Rock, Arizona. One of the downsides of working on multi-institutional projects is the number of IRBs (institutional review boards) that must be navigated through.
The library exhibited at the AK Chin Diabetes Day onSaturday, November 15th.
WE Search Annabelle and Pat were interviewed about WE Search for a TV segment to air Nov. 30th at 10:30am on KTTU-TV Channel 18. Bob Lee conducted the interview for his program, Community Forum. Topics included WE Search, Knowledge River and librarianship in general.
Planning for next year and the conclusion of this year continue. Meetings were held with Jana Bradley and the KRs about next year, and the Sunnyside pricipal. Input on next year’s budget was offered; arrangements were made for the high school students’ final paycheck

Mikel reports that that AZHIN dues invoices for 2009 have been mailed; the 2009 coordinator contract has been updated and is being routed through the Office of Research and Sponsored Projects on main campus.
And on the technical front, Yavapai College’s access issues have been resolved; NAU is working directly with Ovid to respolve some LWW isues; Athens activity is handled daily; portal customization questions come up occasionally.

Outreach staff had a retreat on November 7th over at the Memorial Student Union to plan for the coming year.
Paul Bracke, formerly Head of Systems and Netowrking at AHSL and now at Purdue University, will be working with Marcus to provide development pathways for the EBM Search engine. He and David Howse and Sam Keim were the original developers. WE want to solve the “Wiley” problem (let Jeanette know if you want more info), provide the flexibility for liaison librarians in other colleges to to purpose the software for the unique needs of their colleges, and to provide a pathway for AZHIN to use the software as well. Also we are hoping that it will be useful in developing federated searches for library users overall.
The Continuation of the NLM/Knowledge River award for 2008-2009 is also being processed through the Office of Research and Sponsored Projects. For 4 years (since 2005-2006), the NLM Office of Specialized Information Services has provided funding for AHSL to support Knowledge River graduate students by providing work in our library.
Knowledge River interns will continue working for us during the Spring semester, Yamilla with the InfoDesk for 12 hours and 8 hours in Outreach, and Olivia with Collections Services for 12 hours and 8 hours with the InfoDesk. Our interns are great this year!
The Indian Health Information Management Conference will be held in Phoenix in mid December. Jean Roehrs from the Phoenix Indian Medical Center and perhaps Jacaue Doyle will staff a poster developed by the Outreaach Connections Steering Committee. The committee, which Jeanette participates in, has developed a a Wiki, whose purpose is to promote the sharing of information about health information projects with native populations. WE SearchPat met with Sunnyside School District officials and the KR interns to to resolve some issues related to Sunnsyide’s support of the program. The high school students are working on digital storytelling projects and doing powerpoints about health topics (including doing the research). Pat also attended Junior Scientists Kid Day at the U of A Science and Engineering Library (WE Search & KR students had an exhibit) and the Cervical Cancer Partnership Retreat.
AZHIN
Interviews for the AZHIN Librarian position were completed. Brooke Billman will be joining our staff on January 12, 2009.
Yavapai College’s AZHIN membership began their membership October 1. They are AZHIN’s first community college member.
AZHIN quarterly membership meeting was held October 24th on the Phoenix Biomedical Campus. A budget was approved in principle – revision to be sent out as soon as possible. AZHIN has completed its expenditures for 2008.
AZHIN’s subscriptions for 2009 are the same as last year with one exception - Ovid Healthstar has been dropped. Ovid CINAHL will cease to exist after January 1.

The Exhibits committee (Mary, Jose, Mikel, Nga, Jeanette) meets regularly to plan for the Changing the Face exhibit February 4- March 29, 2009. We’re excited about the possibility of hosting a one-woman show about Elizabeth Blackwell, the first woman physician. The play has gotten rave reviews everywhere it’s gone. Planned date to mark on your calendar is February 18th. We’;re currently looking for funding.
Mary R and Jeanette exhibited at Sahuarita’s Health Fair on Saturday, October 18th. We talked about AZHealthInfo, AZ Go Local, and NLM online resources. And talked about the upcoming exhibit in February-March 2009 – Changing the Face of Medicine.
Mary has added the CDC Weekly Flu map to AZHealthInfo and is working on a new focus page about Lyme disease.
Pat traveled to Bisbee to make 2 presentations to the Copper Queen Library on CAM and Herbs and Herbal Medicine.
The Lunch and Learn series, the brain-child of Pat and Annabelle, featured Survey Monkey, presented by Jose.
The PSR quarterly reports are finally up-to-date. AHSL received many kudos regarding our outreeach program in general and specifically the execution of our current subcontract at the PSR Regional Directors’ meeting and from NLM staff at their meeting in October.

Dr. Crist, CE for you
Dr. Crist’s visit
On Tuesday the new Vice President for Health Sciences, Dr. William Crist, visited the AHSL. I took him on a tour of the building and we talked in my office. I’m happy to report that Dr. Crist seems to understand the value of libraries and their importance to the health sciences. He was impressed with our service approach as we reach out to the Colleges on campus. An important part of his job is to support the development of the Phoenix campus. There too, he sees an important role for the library. He was happy to hear that we have a staffed library in place in Phoenix and that we have good relations with the hospital librarians in Tucson and Phoenix.

A reminder that the University offers a variety of opportunities for professional development: the Professional Success Institute, the University Leadership Institute, the Successful Supervisor Series, Career Success Strategies Workshops and other general HR courses are all available to UA employees. As many of you know, both Jerry Perry and Jeanette Ryan were selected in recent years as NLM/AAHSL Fellows. This highly competitive program selects 4-6 librarians each year who show strong leadership potential to participate in a mentoring experience. This coming year AHSL has been chosen to host Sandra I. Martin, Interim Director, Shiffman Medical Library at Wayne State University as an NLM/AAHSL Fellow. She will visit us several times in the coming year and will have a chance to meet with everyone. She and I will also communicate regularly and jointly participate in some learning experiences. Sandra will be added to some of our listservs so that she can keep up on what’s happening at AHSL.
